Identity & access management (IAM)

Identity and access management for small and mid-sized businesses

Most breaches start with a stolen password. We set up single sign-on, multi-factor authentication and passkeys so the right people get into the right systems — and former employees, attackers and bots don’t.

  • Plain-English guidance
  • Security built in

Is this for you?

IAM needs attention if…

  • Staff juggle a different password for every app — and reuse them.
  • When someone leaves, you’re not sure every account was shut off.
  • Some systems still lack MFA, or rely on text-message codes.
  • A cyber-insurance application or client questionnaire asks about MFA and access reviews.
  • Contractors or vendors share logins.

Use cases

What we set up

Identity is where security and convenience meet. Done right, your team signs in less often and your business is much harder to break into.

Single sign-on (SSO)

One secure company identity for email, CRM, accounting and line-of-business apps — with access granted or revoked in one place.

Fewer passwords, more control

Phishing-resistant MFA and passkeys

Move from text-message codes to authenticator apps, passkeys or hardware security keys that can’t be phished.

Stolen passwords stop working

Joiner, mover and leaver automation

Accounts are created, adjusted and removed automatically when people join, change roles or leave (SCIM provisioning where supported).

No forgotten accounts

Privileged access protection

Separate admin accounts, stronger controls for finance and IT staff, and approvals for the most sensitive systems.

Your crown jewels, locked down

Zero Trust access

Cloudflare Access checks identity and device health before anyone reaches internal apps — no exposed servers and no VPN.

Secure access from anywhere

Access reviews and insurance readiness

Periodic access reviews and documented controls ready for cyber-insurance applications, client audits and regulators.

Why identity is your new front door

Attackers rarely break in anymore — they log in. Verizon’s 2025 Data Breach Investigations Report found that credential abuse was the most common way into breached organizations, at 22% of confirmed breaches.

That’s why multi-factor authentication matters so much, and why phishing-resistant methods such as passkeys matter even more: a code sent by text can be tricked out of an employee, but a passkey only works on the genuine website it was created for.

Many regulations now expect strong authentication, too. For example, the FTC Safeguards Rule requires MFA for anyone accessing customer information at covered non-bank financial businesses such as tax preparers and mortgage brokers.

Microsoft Entra ID vs. Okta vs. Google Workspace for small business

The best identity provider is usually the one that fits the tools you already use. Here’s how the common options compare.

Rolling out MFA and passkeys without frustrating your staff

The technology is the easy part. Adoption is about timing, communication and a little hand-holding — which is why we do enrollment in person.

  • Start with administrators, owners and finance staff — the accounts attackers want most.
  • Enroll people face to face at your office, so nobody gets stuck alone.
  • Set up backup sign-in methods and a clear account-recovery process.
  • Explain the “why” in plain English before switching anything on.
  • Phase out text-message codes once better methods are working.

How it works

Our process

Clear steps, a written price before work begins, and in-person check-ins along the way.

  1. Inventory

We list your apps, accounts, admins and shared logins — usually uncovering a few surprises.

  2. Design

We choose the identity provider and write simple policies for sign-in, devices and access.

  3. Roll out

We connect apps to SSO and enroll staff in MFA or passkeys during in-person sessions.

  4. Govern

Automated offboarding, periodic access reviews and documentation for insurers and audits.

Questions & answers

Identity & Access Management: frequently asked questions

What’s the difference between SSO and MFA?

Single sign-on lets employees use one company identity to reach all their approved apps, so access is managed in one place. Multi-factor authentication adds a second proof of identity — such as an authenticator app or passkey — on top of a password. They work best together.

What are passkeys, and should we switch to them?

Passkeys replace passwords with a cryptographic key stored on a phone, computer or security key and unlocked with a fingerprint, face or PIN. They can’t be phished or reused on fake websites. Microsoft, Google, Apple and Okta all support them, and we recommend rolling them out — starting with your most sensitive accounts.

Is Okta or Microsoft Entra ID better for a small business?

If your business runs on Microsoft 365, Entra ID is usually the natural choice — especially with Microsoft 365 Business Premium. Okta shines when you use many non-Microsoft SaaS apps or need advanced lifecycle automation. We’ll recommend based on your actual app list and budget, not a vendor preference.

What does an IAM project cost?

It depends on how many users and applications you have. Many small businesses can implement SSO and MFA using licenses they already own, so the main cost is setup and enrollment, which we quote in writing after a short inventory.

Do we need IAM if we only have 10 employees?

Yes — small businesses are frequent targets precisely because they’re assumed to be easier. The good news is that a small team can be secured quickly, often in a few weeks, with tools you may already pay for.
