Business automation & agentic AI

AI automation and AI agents that do real work inside your business systems

We build AI agents that read, decide and act inside the software you already use — your inbox, CRM, calendar, accounting and document systems — with human approval wherever it matters.

  • Security built in

Is this for you?

AI automation is a good fit if…

  • Staff re-type the same information into two or three different systems.
  • Leads, orders or service requests sit in an inbox until someone has time.
  • Invoicing, month-end or weekly reporting takes days of manual work.
  • You’ve tried simple automations, but they break on real-world messiness.
  • You want automation without handing AI the keys to everything.

Use cases

What AI agents can take off your plate

These are the automations we’re asked about most often. Each one connects to systems you already use and keeps a person in the loop for decisions that matter.

Inbox triage and smart replies

An agent reads incoming email, labels and routes it, pulls up the customer’s account or order, and drafts a reply for one-click approval.

Faster responses, fewer dropped balls

Document intake and data extraction

Invoices, applications, insurance forms and contracts are read automatically, key fields are entered into your systems, and anything unusual is flagged for review.

Hours of data entry eliminated

CRM updates and lead follow-up

New inquiries are researched, scored and answered within minutes. Meeting notes turn into CRM updates and next steps automatically.

Every lead gets a timely response

Invoicing and collections

Agents prepare invoices from completed jobs, send courteous reminders on overdue balances, and match payments in QuickBooks or Xero for your review.

Better cash flow with less chasing

Scheduling and dispatch

Requests from phone, web and email become appointments or work orders, with confirmations and reminders sent automatically.

Fewer no-shows and back-and-forth

Daily briefings and reports

Decisions based on today’s numbers

How is an AI agent different from a chatbot or traditional automation?

Traditional automation follows fixed rules, a chatbot answers questions, and an AI agent can understand messy input, make a judgment call within limits you set, and take action across several systems.

Which business process should you automate first?

Automate the process that is high-volume, repetitive and annoying — where the information is already digital and a mistake is easy to catch.

  • High volume: it happens dozens or hundreds of times a month.
  • Mostly predictable: experienced staff could explain the rules in a few minutes.
  • Digital inputs: email, PDFs, web forms or spreadsheets rather than handwritten notes.
  • Easy to verify: a person can confirm the result at a glance before it goes out.
  • Measurable: you can count the hours or response time before and after.

Keeping AI agents safe and accountable

An AI agent should have exactly the access it needs and no more. Because we also do AI security and identity management, guardrails are part of the design from day one.

  • Dedicated, least-privilege service accounts — never a shared admin login.
  • Human approval for payments, external emails, deletions and anything irreversible.
  • Activity logs that show what each agent did, when and why.
  • Incoming emails and documents treated as untrusted, to defend against prompt-injection tricks.
  • Model calls routed through Cloudflare AI Gateway for logging, rate limits and cost control.
  • Your data stays in your own accounts and systems wherever possible.

How it works

Our process

Clear steps, a written price before work begins, and in-person check-ins along the way.

  1. Map the process

We sit with the people who do the work today and document every step, exception and system involved.

  2. Design with guardrails

We define exactly what the agent may read and do, where people approve, and how success is measured.

  3. Build and test

We connect the agent to your systems and test it against real examples — including the weird ones — before launch.

  4. Launch and improve

We go live with close monitoring, train your team, and tune the agent based on actual results.

Questions & answers

AI Automation & AI Agents: frequently asked questions

Can AI agents connect to my existing CRM and accounting software?

Usually, yes. Most modern business software — including Microsoft 365, Google Workspace, HubSpot, Salesforce, QuickBooks Online and Xero — offers secure APIs that AI agents can use. For older or desktop-only systems we look for export options, integration tools or, when needed, a small custom connector.

Is agentic AI safe for customer data?

It can be, when it’s designed carefully. We limit each agent to the data and actions it needs, use business-grade AI services with appropriate privacy terms, require human approval for sensitive actions, and log everything. For regulated businesses we also review vendor agreements, such as a HIPAA Business Associate Agreement.

Will an AI agent make mistakes?

Occasionally — just like people. That’s why we design agents to handle routine cases on their own, flag anything unusual for a person, and require approval before anything consequential happens. Mistakes are caught before they reach a customer, and every action is logged.

What does a custom AI agent cost?

It depends on the number of systems involved and how complex the process is. We provide a fixed written quote after mapping the process. Running costs — AI model usage and any automation platform fees — are usually modest for small businesses, and we estimate them before you commit.

Do we need to replace our software to automate it?

No. The goal is to make the tools you already have work together. We only suggest replacing software when it truly can’t be connected or is holding the business back.
