Straight answers to the questions South Florida business owners ask us most — about AI, automation, security and working with us.

Questions & answers

Working with Rock Hard Consulting

What does an AI consulting company do for a small business?

An AI consulting company helps you find where AI will genuinely save time or money in your business, then sets it up safely and trains your people to use it. At Rock Hard Consulting that usually means three things: identifying the two or three tasks that eat the most staff hours, putting the right tools or custom AI agents in place, and making sure your data, logins and website stay secure along the way.

We are vendor-neutral, we explain everything in plain English, and we don’t stop at advice — we do the implementation work too.

Do you meet with clients in person?

Yes. We’re based in Boca Raton and regularly meet clients in person across Palm Beach, Broward and Miami-Dade counties — at your office, at a coffee shop, or wherever is convenient. Most engagements start with an on-site walkthrough so we can see how work really flows through your business. Phone and video meetings are always available too.

Which South Florida cities do you serve?

We serve businesses from Palm Beach to Miami, including Boca Raton, Highland Beach, Delray Beach, Boynton Beach, Lake Worth Beach, Wellington, West Palm Beach and Palm Beach in Palm Beach County; Deerfield Beach, Pompano Beach, Coral Springs, Parkland, Fort Lauderdale, Plantation, Weston and Hollywood in Broward County; and Aventura, Miami Beach, Doral, Coral Gables and Miami in Miami-Dade County. Remote projects are welcome anywhere in the U.S.

Is it better to hire a local AI consultant or a national remote agency?

For most small and mid-sized businesses adopting AI for the first time, a local consultant leads to better results. A local partner can sit with your staff, watch how work actually gets done, train people face to face, and be accountable in person when something needs fixing. Remote agencies can work well for narrowly defined technical projects, but AI adoption is as much about people and process as it is about software.

How much does AI consulting cost?

It depends on the scope, so we price each project in writing before any work begins. A typical engagement starts with a short assessment and a plan, followed by a fixed-price first project — for example, setting up an AI receptionist or automating one paperwork-heavy process. Ongoing platforms (such as a voice-agent service or AI subscriptions) usually carry a monthly fee plus usage, which we estimate for you up front. No surprise invoices.

Do we have to replace our existing software to use AI?

Usually not. Most of our work connects AI to the tools you already use — Microsoft 365 or Google Workspace, your CRM, calendar, phone system, accounting software or practice-management system. We only recommend replacing software when it is genuinely holding you back, and we’ll tell you plainly when that’s the case.

Who will we actually be working with?

You work directly with experienced consultants — not a call center, and not an anonymous offshore hand-off. Our staff includes people who hold a Cloudflare Security Certification and a Federal Security Clearance, which shapes how carefully we handle your data, credentials and systems.

Questions & answers

AI, agents and automation

What is agentic AI, and how is an AI agent different from a chatbot?

Agentic AI refers to AI systems that can work toward a goal by planning steps and taking actions in your software — not just answering questions. A chatbot replies to a message; an AI agent might read an incoming email, look up the customer in your CRM, draft a reply, create an invoice and schedule a follow-up. We design agents with clear limits, activity logs and human approval for anything important.

Is it safe for employees to use ChatGPT, Copilot, Claude or Gemini with business data?

It can be — with the right setup. Business and enterprise plans generally offer stronger privacy commitments than free personal accounts, but you still need three things: a clear AI-use policy, single sign-on so only managed accounts are used, and technical guardrails such as data loss prevention that stop sensitive information from being pasted or uploaded. We help you choose the tools, write the policy and enforce it with Cloudflare One.

Will AI replace my employees?

For the small businesses we work with, AI mostly takes repetitive work off your best people rather than replacing them. The goal is less phone tag, data entry and paperwork — and more time spent with customers, patients and clients. We involve your team early so they see AI as help, not a threat.

Questions & answers

AI receptionists and voice agents

How does an AI receptionist work?

An AI receptionist is a voice agent that answers your business phone line, understands natural speech and responds in a natural-sounding voice. It can answer common questions, book or reschedule appointments in your calendar, take detailed messages, and transfer urgent calls to a person. After each call it can text or email you a summary. We configure it with your services, hours, policies and escalation rules — and test it thoroughly before it ever talks to a customer.

Can an AI receptionist speak Spanish?

Yes. Modern voice agents can greet callers, understand them and respond fluently in English or Spanish, and can switch languages mid-call. That matters in South Florida: U.S. Census Bureau survey data shows roughly two-thirds of Miami-Dade residents speak Spanish at home. Summaries can be delivered to your staff in English regardless of the language the caller used.

Will callers know they are talking to AI?

We recommend that they do. Our voice agents introduce themselves as a virtual assistant, and callers can ask for a person at any time. Transparency builds trust — and Florida is an all-party-consent state for recording phone calls, so callers should be told up front if a call may be recorded. Questions & answers

Security, Cloudflare and identity

What is shadow AI?

Shadow AI is the use of AI tools at work without the company’s knowledge or approval — for example, an employee pasting a client contract into a free chatbot from a personal account. The risk is that confidential data leaves your control and may be stored or used in ways you never agreed to. The fix isn’t simply blocking AI; it’s giving staff approved tools and putting guardrails around them.

What is Cloudflare One?

Cloudflare One is Cloudflare’s Zero Trust security platform (often called SASE). It lets a business control which websites and AI apps employees can use, inspect traffic for sensitive data, secure access to internal applications without a traditional VPN, and see which cloud and AI services are in use. Because it runs on Cloudflare’s global network, it works the same for staff in the office, at home or on the road.

What is a web application firewall (WAF), and does a small business need one?

A WAF sits in front of your website or web app and filters malicious traffic — such as automated attacks, credential-stuffing bots and common exploits — before it reaches your server. If your site takes logins, payments, form submissions or bookings, a WAF is one of the most cost-effective protections you can add. Cloudflare offers WAF and DDoS protection on every plan, but the default settings are rarely tuned for a specific business — that’s where we help.

What is the difference between SSO and MFA?

Single sign-on (SSO) lets employees use one company identity to sign in to all approved apps, so you can grant or revoke access in one place. Multi-factor authentication (MFA) requires a second proof of identity — such as an authenticator app or a passkey — in addition to a password. They work best together: SSO centralizes control, and MFA makes stolen passwords far less useful.

What are passkeys, and should my business switch to them?

Passkeys replace passwords with a cryptographic key stored on your phone, computer or a security key, unlocked with your fingerprint, face or device PIN. They are resistant to phishing because there is no password to steal or type into a fake website. Microsoft, Google, Apple and Okta all support them, and for most businesses we recommend rolling them out — starting with administrators and finance staff.

Questions & answers

Compliance questions

Can AI be used in a HIPAA-compliant way?

Yes, when it is set up correctly. Any AI vendor that handles protected health information should sign a Business Associate Agreement (BAA), access should be limited to the minimum necessary, and data should be protected in transit and at rest. Many free consumer AI tools do not offer a BAA, which is why we help practices choose appropriate vendors and put guardrails in place. (General information, not legal advice.)

Can Florida lawyers use generative AI?

Yes, with safeguards. In January 2024 The Florida Bar issued Ethics Opinion 24-1, which says lawyers may use generative AI if they protect client confidentiality, supervise and verify the output, bill fairly, and follow advertising rules for client-facing chatbots. We help firms put those safeguards into practice with approved tools, policies and data protection. (General information, not legal advice.)
