Use cases
Every business is different, but most engagements combine a few of these building blocks. We size the work to your business — not the other way around.
We interview key staff, map your workflows and systems, and identify where AI could save the most time — plus an honest list of what isn’t worth doing yet.
A prioritized roadmap with costs
Plain-English rules for which AI tools are approved, what data must never be shared, how AI output gets reviewed, and who to ask — tailored to your industry’s obligations.
Staff know exactly what’s allowed
Small-group, in-person workshops at your office using your own documents and tasks: writing, summarizing, research, spreadsheets and meeting notes.
Confident, consistent use across the team
We compare business plans from ChatGPT, Microsoft 365 Copilot, Google Gemini and Claude — features, licensing and privacy terms — then configure the one you choose with single sign-on.
The right tool, set up securely
We start with one measurable workflow, such as drafting proposals or answering routine emails, and track time saved before expanding to the next.
Proof before you scale
A trusted advisor on call: new-tool reviews, policy updates, refresher training and a local person to ask when something new comes up.
Keep up without the noise
Start with the work, not the tool. The best first AI projects are frequent, repetitive tasks that use information you already have in digital form — and where a person can quickly check the result.
In most South Florida offices we visit, the same handful of tasks consume a surprising share of the week. Those are usually the best places to begin:
Here is how typical starter projects compare. Most can be live within days or a few weeks, using tools many businesses already license.
| Project | Typical tools | Time to value | Watch out for |
|---|---|---|---|
| Email drafting and triage | Microsoft 365 Copilot, Gemini for Google Workspace | Days | Personal AI accounts — use company accounts only |
| Meeting notes and follow-ups | AI notes in Teams, Zoom or Google Meet | Days | Tell participants when meetings are recorded |
| Proposals and quotes | ChatGPT or Claude with your templates | 1–2 weeks | Always verify prices and terms |
| Customer FAQ assistant | Website chat or an AI voice agent | 2–4 weeks | A clear hand-off to a human |
| Workflow automation | AI agents connected to your CRM or inbox | 3–8 weeks | Approvals for anything sent or paid |
AI adoption is a people project as much as a technology project. Being in the room — watching how your team really works and answering questions face to face — is what turns a pilot into a habit.
According to the U.S. Census Bureau’s Business Trends and Outlook Survey, fewer than one in five businesses with under 20 employees reported using AI in early 2026, compared with about 37% of firms with 250 or more employees. That gap is an opportunity: a well-run small business that adopts AI thoughtfully can deliver big-company responsiveness without big-company overhead.
We’re based in Boca Raton and meet clients across Palm Beach County, Broward and Miami-Dade. Because our background includes security work, every recommendation comes with the guardrails to match — see secure AI use for employees.
How it works
Clear steps, a written price before work begins, and in-person check-ins along the way.
On-site interviews with owners and key staff, plus a look at your systems, data and current AI use (official or not).
A short written roadmap: the two or three highest-value opportunities, what they cost, and what to skip for now.
Tools configured with company accounts, a clear AI policy, and hands-on training sessions at your office.
We check results against the goals we set together, refine what’s working, and plan the next step.
Questions & answers
Costs depend on scope, so we quote every engagement in writing before work begins. Most clients start with a short assessment and roadmap, then a fixed-price first project such as staff training or a single automation. Ongoing AI subscriptions are billed by the vendors you choose, and we’ll estimate those for you up front.
For most small and mid-sized businesses, a consultant is the better first step. You get experienced guidance and hands-on setup without a full-time salary, and your existing staff become the AI champions. A dedicated hire makes more sense once AI is central to your product or you’re running many automations.
A good AI policy fits on a few pages and covers: which AI tools are approved; what information must never be entered (client data, health or financial records, passwords); that AI output must be reviewed by a person before it’s used; how to disclose AI use where required; and who to ask with questions. We draft it with you, tailor it to your industry, and back it up with technical controls.
Simple wins — like meeting notes or email drafting with tools you already license — often show results within the first week. Automations and AI agents connected to your systems typically take a few weeks to design, test and launch safely.
